OverseeAI, Inc. ("OverseeAI", "we", "us", or "our") is committed to protecting the privacy of users of OverseeAI Research (the "Service"). This Privacy Policy explains what information we collect, how we use it, how we protect it, and your rights with respect to that information. 

By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, you must not use the Service.

OverseeAI Research is operated by OverseeAI, Inc., a Delaware corporation with its principal place of business in Boston, Massachusetts, United States. Our primary business is providing AI-powered insurance research tools for professionals in the property and casualty (P&C) insurance industry.

3. Information We Collect

3.1 Account Registration Data 

When you create an account, we collect: 

  • Your full name; 

  • Your professional work email address (personal email addresses are not accepted); 

  • Your company name and professional role or title; and 

  • Email verification status. 

3.2 Usage Data 

We collect limited data about how you interact with the Service, including: 

  • Log data such as your IP address, browser type, and access timestamps; 

  • Device information (operating system, browser version); and 

  • Usage patterns, such as query volume and feature interactions, used in aggregate for service improvement. 

3.3 Query Data 

The research questions you submit to the Service ("queries") are processed to generate your results. Query data may be retained for a limited period as described in Section 7 below. Your queries will not be used to train, fine-tune, or improve any AI model without your express written consent. 

3.4 Information We Do Not Collect 

We do not collect: 

  • Payment information (billing is handled under enterprise contracts directly); 

  • Sensitive personal information such as government IDs, financial account numbers, or health information; or 

  • Information from personal social media profiles or public data sources about individual users. 


4. How We Use Your Information 

We use the information we collect for the following purposes: 

  • Account creation and authentication: to verify your eligibility, create your account, and authenticate your identity when you log in; 

  • Service delivery: to process your queries, return research results, and operate the platform; 

  • Communications: to send you account-related notifications, security alerts, and, where applicable, product updates or announcements; 

  • Security and fraud prevention: to detect, investigate, and prevent unauthorized access, abuse, or misuse of the Service; 

  • Legal compliance: to comply with applicable laws, regulations, or enforceable government requests; and 

  • Service improvement: to analyze aggregate, anonymized usage patterns to improve the performance and reliability of the Service. 

We do not sell your personal information. We do not use your personal information for advertising or marketing to third parties. 


5. Legal Basis for Processing (US Context) 

As a US-based service operating under enterprise contracts, our primary legal bases for processing your personal information are: 

  • Contractual necessity: processing is necessary to fulfill our obligations under the enterprise agreement governing your access to the Service; 

  • Legitimate interests: such as maintaining platform security, preventing fraud, and improving service quality through aggregate analysis; and 

  • Legal obligation: where required to comply with applicable US federal or state law. 


6. Data Sharing and Third Parties 

We do not sell, rent, or share your personal information with third parties for their own commercial purposes. 

We may share limited information with trusted service providers who assist us in operating the Service, strictly under written agreements that prohibit them from using your information for any purpose other than providing services to us. Such providers may include: 

  • Cloud infrastructure and hosting providers; 

  • Authentication and email verification services; 

  • Security and monitoring tools; and 

  • AI model providers used to power the Service's research functionality. 

In all cases, these providers are contractually prohibited from using your data for their own purposes, including AI model training, without your explicit consent. 

We may also disclose your information if required to do so by law, court order, or a valid request from a law enforcement or regulatory authority, or to protect the rights, property, or safety of OverseeAI, Inc., our users, or the public. 

7. Data Retention and Deletion 

We retain your personal information for as long as your enterprise account is active, plus a further period of 30 to 90 days following account closure or contract termination to allow for administrative purposes, dispute resolution, and legal compliance. 

After this retention period: 

  • Personal account information (name, email, company, role) will be deleted or irreversibly anonymized; 

  • Query data associated with your account will be deleted; and 

  • Aggregate, anonymized usage data that cannot be linked back to you may be retained indefinitely for service improvement purposes. 


If you wish to request deletion of your data before the end of the standard retention period, please contact us at support@oversee-ai.com. We will process deletion requests within 30 days of receipt, subject to any legal obligations that require us to retain certain information for a longer period. 

8. Data Security 

We implement industry-standard technical and organizational measures to protect your personal information from unauthorized access, disclosure, alteration, or destruction. These include: 

  • Encrypted data transmission using TLS (Transport Layer Security); 

  • Access controls limiting who within OverseeAI, Inc. can access user data; 

  • Regular security assessments of our infrastructure; and 

  • Email verification to prevent unauthorized account creation. 

OverseeAI, Inc. maintains SOC 2 Type II compliance, independently audited by a third party to validate the design and operating effectiveness of these security controls on an ongoing basis. 

In the event of a data breach that affects your personal information, we will notify you and, where required, the relevant authorities, in accordance with applicable US law and in a timely manner. Notification will be provided via the email address associated with your account. 

No method of transmission over the internet or method of electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security. 

9. Your Privacy Rights 

As a user of OverseeAI Research, you have the following rights with respect to your personal information: 

  • Access: you may request a copy of the personal information we hold about you; 

  • Correction: you may request that we correct inaccurate or incomplete information; 

  • Deletion: you may request that we delete your personal information, subject to our retention obligations outlined in Section 7; 

  • Restriction: you may request that we limit how we use your information in certain circumstances; and 

  • Objection: you may object to certain uses of your information, such as use for aggregate analytics.

10. California Residents — CCPA Notice 

If you are a California resident, the California Consumer Privacy Act (CCPA) may provide you with additional rights. Under the CCPA: 

  • You have the right to know what personal information we collect about you and how it is used; 

  • You have the right to request deletion of your personal information; 

  • You have the right to opt out of the sale of your personal information — note that OverseeAI, Inc. does not sell personal information; and 

  • You have the right not to be discriminated against for exercising your CCPA rights. 

To submit a CCPA request, contact us at support@oversee-ai.com. We will respond within 45 days of receiving a verifiable consumer request. We will not discriminate against you for exercising your rights. 


11. Cookies and Tracking 

OverseeAI Research uses cookies and similar technologies to support core platform functionality, including session authentication and security. We do not use cookies for advertising or behavioral tracking by third parties. 

Most browsers allow you to control or disable cookies through your browser settings. Disabling certain cookies may affect the functionality of the Service. 


12. Children's Privacy 

The Service is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that we have inadvertently collected personal information from a minor, we will take prompt steps to delete that information. 


13. Changes to This Privacy Policy
 

OverseeAI, Inc. reserves the right to update this Privacy Policy at any time. When we make material changes, we will update the "Last Updated" date at the top of this document and notify you by email at the address associated with your account. Your continued use of the Service after any update constitutes your acceptance of the revised Privacy Policy. 

We encourage you to review this Privacy Policy periodically.
